At a Glance

Lonely Planet is looking for a Trade Sales & International Licensing Assistant to join our team. Day to day administrative support for the Lonely Planet EMEA Sales Team, external agency sales teams and all accounts serviced by them. To include the timely distribution of sales materials and other tools necessary to maintain the highest standard of sales support and customer service. Assistance with co-ordinating tasks relating to new title launches, key campaigns, events, and marketing initiatives. Participation in bibliographic information maintenance and reporting functions.

This role offers a crucial support role for the International Licensing department in management of our relationships with foreign language book and magazine publishers

What You’ll Do

  • Provide friendly and efficient customer service to trade customers via EMEA and Asia inboxes.
  • Timely and prompt response to all requests and queries from the Sales Managers
  • Liaise with external sales agencies – sharing sales leads and supporting their sales efforts with all types of customers
  • Assist with supplying new title and back list bibliographic information to the internal and external (agency) sales teams and customers as required
  • Accurate and timely supply of all sales material – covers, advanced Information sheets, blads, samples & order forms according to schedules set by the needs of the sales teams, key accounts and external sales agencies.
  • Administration of the export returns function and ad hoc returns in close liaison with the Sales Managers
  • Handling gratis requests and promotional copies
  • Manage the distribution of advances for internal and external (agency) sales teams
  • Maintenance of daily sales reports for management and EMEA agency teams.
  • Ensure regular and prompt circulation of EMEA Sales Reports.
  • Help create sales reports that support both the Key Account Management and agency teams in their respective roles.
  • Involvement with month end sales reports for both sales teams and customer
  • Liaise with Production team in Melbourne to ensure smooth delivery of guidebook files to international publishers for translation
  • Answer queries from our international publishers by liaising with LP Publishing, Production, Supply Chain and Digital teams
  • Support the creation and organisation of sales material
  • Handle gratis requests and promotional copies and email review pdfs to customers
  • Support the fulfilment of co-editions and licensing deals for the illustrated reference and Lonely Planet Kids lists; sending out of files for translation, co-ordinating contract signature, co-ordinating plotter approvals and shipping instructions/documents
  • Co-ordinate the organisation of International Partner Conferences
  • Manage departmental records
  • General departmental support
  • Assistance in setting up of trade shows and conferences

What We’re Looking For

  • Excellent organisational skills with the ability to multi task and operate within tight deadlines whilst under pressure
  • Must be able to set priorities and work on own initiative
  • Strong customer focus with the ability to deliver excellence in customer service, internally to the sales teams and externally for customers, through a personable and proactive approach
  • Proven ability to interact with customers and understand their needs
  • Good communication skills, both written and oral, and an excellent, confident telephone and Email manner when dealing with customers, colleagues and peers
  • Excellent PC skills including knowledge of Gmail, Gdocs, Excel,
  • Responsiveness, numerate and a good attention to detail
  • A real passion for publishing and travel.
